Assigning Events to Statuses

EnrollNow allows study teams to assign Events to specific participant Statuses. This helps ensure that participants only see Events relevant to their current stage in the study or assigned protocol group.

Assigning Events by Status improves workflow efficiency, supports protocol branching, and simplifies participant management by displaying only the Events applicable to each participant.

How Event Assignment Works

By default, all newly created Events are assigned to all participant Statuses. Study teams can customize these assignments to better support study workflows and participant pathways.

Examples include:

  • Screening vs. enrolled participants
  • Control vs. treatment groups
  • Adult vs. minor participant protocols
  • Multi-arm or branched study designs

When a participant is moved into a specific Status, only the Events assigned to that Status will appear on their participant profile.

How to Assign Events to Statuses

Step 1: Navigate to Event Settings

    • Open the Study Settings tab
    • Select the Events section

Step 2: Add or Edit an Event

    • Select an existing Event name to open the Add/Edit Event window
    • Or create a new Event

Step 3: Assign Statuses to the Event

In the Assign to Statuses field:

    • Select the participant Statuses that should have access to the Event
    • Remove any Statuses that should not include the Event

Once complete, click Save.

Step 4: Repeat for Additional Events

Repeat this process for all Events in the study protocol to ensure proper workflow segmentation.

         

Event Assignment by Participant Status

In this study, all participants are required to complete a Baseline Appointment and a Final Visit. However, only participants in the Treatment Group are assigned treatment sessions. This ensures that each participant only sees Events relevant to their assigned group, improving study organization and workflow efficiency.

  • Control Status: When a participant is assigned to the Control Status, the following Events are added to their profile card:

    • Baseline Appointment
    • Final Visits

     

  • Treatment Status: When a participant is assigned to the Treatment Status, the following Events are added to their profile card:

    • Baseline Appointment
    • Treatment Sessions
    • Final Visit
