Which Contact Receives Automated or Bulk Emails and Text Messages?
EnrollNow uses a hierarchy to determine which email address or phone number receives an automated message or a bulk message. Setting a Preferred Contact and identifying that contact’s preferred email address or phone number helps direct messages to the appropriate person.
How the Hierarchy Works
EnrollNow first checks whether the participant has a Preferred Contact. If one is designated, the system uses that contact’s information. If no Preferred Contact is designated, the system uses the participant’s own contact information.
| Priority | Condition | Automated Email | Automated Text |
|---|---|---|---|
| 1 | A Preferred Contact is designated and has a preferred email address or phone number. | Sent to the Preferred Contact’s preferred email address. | Sent to the Preferred Contact’s preferred phone number. |
| 2 | The Preferred Contact does not have a preferred email address or phone number. | Uses the first non-archived email address listed for the Preferred Contact. | Uses the first non-archived phone number listed for the Preferred Contact. |
| 3 | No Preferred Contact is designated. | Uses the preferred email address on the participant’s own contact record. | Uses the preferred phone number on the participant’s own contact record. |
| 4 | No Preferred Contact is designated, and the participant has no preferred email address or phone number. | Uses the first non-archived email address on the participant’s own contact record. | Uses the first non-archived phone number on the participant’s own contact record. |
| 5 | No Preferred Contact is designated, and the participant’s contact record is archived or has no available email address or phone number. | The email will not be sent if the contact is archived or has no available email address. | The text will not be sent if the contact is archived or has no available phone number. |
Tips for Your Team
- Designate a Preferred Contact when someone other than the participant should receive automated communications.
- Mark the intended email address and phone number as preferred to avoid relying on the first non-archived entry.
- Keep contact information current and review preferred settings when communication responsibilities change.
- Adding a second contact does not make that person the recipient of automated messages. Designate them as the Preferred Contact if they should receive those communications.
