USING FAMILY ID TO LINK RELATED PARTICIPANTS
In EnrollNow, related participants can be linked together using a shared Family ID. When participants have the same Family ID, they will appear in each other’s Family section at the bottom of the participant Profile Card. This feature is helpful when working with related participants, such as siblings, parent-child pairs, or members of the same household. Linking participants by Family ID allows study teams to more easily coordinate communication, scheduling, and outreach across family members.
Why Use a Family ID?
Family IDs help teams:
- Identify related participants across EnrollNow
- Coordinate appointments for multiple family members
- Avoid duplicate outreach
- Streamline communication with families or households
- Support more personalized participant engagement
- Reduce manual data entry when contact information is shared across family members
Linking Participants with a Family ID
To link related participants:
- Open the participant’s Profile Card.
- Enter the same Family ID for each related participant.
- Save the participant profile.
- Repeat this process for each participant who should be connected as part of the same family group.
Once participants share the same Family ID, they will appear in the Family section of each other’s Profile Card.

Important:
Family IDs are global in EnrollNow and must be unique across all studies.
When the same Family ID is used for participants in different studies, EnrollNow recognizes those participants as part of the same family group.
For example, if Matt001 is used as a Family ID in Study A and the same Matt001 Family ID is used in Study B, those participants will be connected through that shared Family ID.
To avoid unintentionally linking unrelated participants, each family should have a unique Family ID that is not reused for another family in any study. This ensures that only the intended family members are connected across your EnrollNow site.
Viewing Related Family Members
The Family section is located at the bottom of the participant Profile Card. This section displays other EnrollNow participants who share the same Family ID.
For each related participant, you may see:
- Full name
- Gender
- Current age
- Studies they are enrolled in
- Study access indicators
Study names may appear in different colors based on your access:
- Blue study names indicate that you have access to view that study.
- Black study names indicate that you do not have access to that study.
This helps ensure that family relationships are visible while still respecting your assigned study permissions.

Importing Contact Information from a Family Member
EnrollNow allows users to import contact information from one family member into another family member’s Contact Methods section. This can help reduce duplicate data entry and ensure that shared family contact details are entered consistently.
This is especially useful when one family member, such as a parent or guardian, is the primary contact for multiple participants.
How to Import Family Contacts
- Open the participant’s Profile Card.
- Confirm that the participant has the same Family ID as the related family member.
- Scroll to the Family section at the bottom of the Profile Card.
- Click Import Family Contacts.
- Select the family member whose contact information you want to import.
- Click Import Contacts to confirm.
- Review the imported contact information in the participant’s Contact Methods section.
When contact information is imported, the selected contact methods, such as phone numbers or email addresses, are copied to the current participant’s profile. The relationship field for the imported contact will be updated to Family Member.
These steps can be repeated if contact information needs to be imported from additional family members.
