How to Reuse a Custom ID in EnrollNow

To support accurate data tracking and help prevent duplicate or conflicting participant records, EnrollNow does not allow a Custom ID to be reused while it is still associated with another participant.

This may occur when a participant is removed from a study but not deleted from EnrollNow. Removing a participant from a study only removes their association with that specific study. The Custom ID will still remain linked to the participant’s EnrollNow profile.

If you need to reuse a Custom ID, you must first disconnect it from the original participant by assigning that participant a new, unique Custom ID.

Why This Matters

Custom IDs are used to help identify and track participants within a study. If the same Custom ID is associated with more than one participant, it can cause confusion, duplicate records, or inaccurate data tracking.

To make a Custom ID available for reuse, it must first be removed from the original participant’s study record.

Steps to Reuse a Custom ID

Step 1: Re-add the Original Participant to the Study

  1. Navigate to the Registry.
  2. Locate the participant who was previously assigned the Custom ID.
  3. Add the participant back to the study where the Custom ID was originally assigned.

Step 2: Assign a New Custom ID to the Participant

  1. Open the participant’s profile within the study.
  2. Locate the Custom ID field.
  3. Update the Custom ID to a different, unique value.
  4. Save the participant record.

NOTE: This step is required to release the original Custom ID so it can be used for another participant.

Step 3: Remove the Participant from the Study

After assigning the participant a new Custom ID, remove the participant from the study again, if needed.

This ensures the participant is no longer associated with the original Custom ID or the study.

Repeat as Needed

Repeat these steps for each Custom ID you need to reuse.

Important Reminder

Before reusing a Custom ID, confirm that the original participant no longer needs to be associated with that ID. This helps maintain accurate participant tracking and prevents duplicate or conflicting study data.
