Below is a summary of enhancements and bug fixes included in this release. These updates focus on improving system reliability, correcting filtering behavior, and enhancing the performance and accuracy of reporting tools.

Enhancement: Remove Site-Level Setting for Multi-Study Participation (RI-6736)

The site-level setting “Allow participants to be active in more than one study at a time” has been removed from Site Admin → General Settings. Previously, this setting controlled whether the study-level option “Allow study participants to be active in other studies” appeared for administrators. With this update, the study-level option is now always available to Study Admins, simplifying configuration and giving study teams direct control over multi-study participation settings.

What this means for your team:

  • Study teams now have direct control at the study level.

  • There is no longer a site-wide setting that hides or restricts this option.

  • Each study can independently choose whether to allow participants to be active in multiple studies.

Bug Fix: Improved Visibility for Registry Participant Status Filter (RI-6729)

We fixed a display issue in the Registry “Participant Status” filter where the study names connected to each status option were difficult to read. With this update, the study names now appear clearly in the filter, making it much easier to see which study each participant status belongs to. This improvement helps users quickly identify and select the correct status when filtering registry participants.

Bug Fix: Corrected Participant Counts in “Filter Potential Duplicates” (RI-6689)

We fixed an issue in the Registry “Filter potential duplicates” feature where the participant count and page navigation controls were not displaying correctly. Previously, when this filter was applied, the total number of participants shown and the page controls could appear inaccurate, which made it difficult to navigate through the results. With this update, the participant counts and page navigation now correctly reflect the filtered results, making it easier to review and move through potential duplicate records in the Registry.

Bug Fix: Fixed Registry Filter for “Participant Available to Add to Study” (RI-5926)

We resolved an issue with the Registry filter “Participant available to add to study?” where selecting either Yes or No would incorrectly return no results and hide all participants. With this fix, the filter now works as expected. When you select Yes, the system will display participants who are available to be added to a study. When you select No, it will display participants who are not currently available to be added. This update ensures the filter returns the correct participants and can be used reliably when reviewing Registry records.

Bug Fix: Email Template Editor – Duplicate Scheduled Actions (RI-6723)

We addressed an intermittent issue in the Email Template Editor where saving a template could sometimes create duplicate scheduled actions. In some cases, when a template was saved, the system would unintentionally generate more than one scheduled action for the same template. With this fix, email templates now save correctly without creating duplicate scheduled actions, ensuring that only the intended action is scheduled.

Bug Fix: Custom Variable Sorting on Imported Studies (RI-6748)

We fixed an issue that affected sorting by custom variables in the Potential Participants and Enrolled Participants tables. This issue occurred when a study was created by copying or importing from another study. In those cases, sorting by custom variable columns did not always work correctly. With this update, sorting by custom variable values now works properly in both participant lists, allowing you to easily organize and review participants based on those fields.

Bug Fix: Import Validation When Skipping Participant Updates (RI-5013)

We resolved an issue in the Participant Import Tool related to the option “Do not update existing participants.” Previously, when this option was selected, the system would sometimes skip the file validation step before starting the import. This could allow formatting or data issues in the file to go undetected and lead to errors during the import process. With this fix, the system now always runs the validation check first, even when “Do not update existing participants” is selected. This helps catch issues in the file ahead of time and ensures the import process runs more smoothly.

Report Builder Updates

This release includes several important improvements to Report Builder, focusing on reliability, accuracy, and performance.

Bug Fix: Improved Reliability for Saved Reports

We resolved an issue where some customers experienced intermittent failures when running saved reports, especially in sites with many studies and a large number of custom variables. In these environments, saved reports could occasionally fail to run or return errors. With this update, saved reports now run more consistently and reliably, even in sites with larger and more complex data sets.

Bug Fix: Reports with Study Name and Global Custom Variables Now Return Data

We fixed an issue where reports that used only “Study Name” and a Global Custom Variable as dimensions would sometimes fail to return any results. Previously, customers had to use a workaround by adding an additional study-specific dimension (such as Participant Status) in order for the report to generate data. With this fix, that workaround is no longer necessary. Reports that include the Study Name and a Global Custom Variable will now run correctly and return the expected results.

Bug Fix: Duplicate Rows in Reports Resolved

We fixed an issue where some reports could display duplicate rows when certain combinations of reporting dimensions were used. In these cases, the report results could repeat the same data across multiple rows, making the report difficult to interpret and potentially leading to confusion about the results. With this fix, reports now generate accurate results without duplicate rows, even when using more complex combinations of reporting dimensions.

Enhancement: Clearer Custom Variable Naming in Report Builder

Custom variables used in reports are now labeled more clearly to help distinguish between Global Variables and Study-Specific Variables. Previously, it could be difficult to tell which variable you were selecting when multiple studies used variables with the same name.

With this update:

  • Global Custom Variables will appear as: (Global) Variable <Variable Name>

  • Study-Specific Variables with the same name will include the study name:  (Study 1) Variablen <Variable Name>, (Study 2) <Variable Name>

This improvement makes it easier to identify the correct variable when building reports, especially when working with multiple studies that use similarly named variables.

Enhancement: Performance Improvements to Reporting Engine

We have made behind-the-scenes improvements to the Report Builder data model to enhance overall reporting performance and reliability.

With this update, Report Builder now provides:

  • Faster report execution, allowing reports to run more quickly.

  • Improved accuracy and consistency in report results.

  • Better handling of complex reports, especially those that include multiple dimensions, studies, or custom variables.

These improvements help ensure that reports run smoothly and deliver reliable results, even in sites with larger datasets or more advanced reporting needs.

Additional Reporting Improvements

This release also includes several updates that improve how reporting works and how results are displayed in Report Builder.

Contact Log fields are now separated into Global Contact Log and Study Contact Log dimensions. This makes it easier to choose the correct field when building reports and ensures the data you are reporting on is clearly identified.

Participants with Empty Custom Variables Included in Results
Previously, participants who had empty or unanswered custom variable fields could sometimes be excluded from report results. With this update, those participants are now correctly included in reports, even if the custom variable field does not contain a value.

Dimension Order No Longer Affects Results
In some cases, the order in which custom variables were added as dimensions could affect the results returned in a report. This issue has been resolved. Report results are now consistent regardless of the order in which dimensions are added.

Saved Report Considerations

Due to enhancements in the handling of custom variables within Report Builder, some saved reports may have certain dimensions removed during the upgrade. This situation may arise for those who have changed the names of or deleted specific custom variables referenced in their reports. The Customer Success Team will notify customers who are impacted by this and identify the report(s) that will need to be rebuilt.
