Study Details Overview

The Study Details tab in EnrollNow is a centralized section designed for capturing and managing key information about your study. The data entered here plays a critical role in generating reports, such as enrollment metrics and study summaries, to monitor and evaluate study progress effectively.

  • Navigate to the Study Settings tab in the upper right.
  • Navigate to the Details section on the left.

By keeping the Study Details tab up-to-date, you can streamline the creation of reports and maintain a comprehensive record of your study’s key details.

Study Details Fields in Ripple

The Study Details section is essential for managing key study information in EnrollNow. Below is an explanation of each field and its significance:

  • Study Short Name

    • Purpose: A brief, 15-character name used to identify your study throughout EnrollNow.
    • Usage:
      • Appears in tags, such as participant comments marked as "Global."
      • Ensures quick recognition of the study in EnrollNow's interface.
    • Example: "HeartStudy" for a cardiovascular study.
  • Study Name

    • Purpose: The full, official name of your study, without character limits.
    • Behavior:
      • Automatically populated with the Study Short Name if left blank.
      • Used to provide the complete name if the short name is insufficient.
    • Example: "Comprehensive Study on Cardiovascular Health Trends."
  • Active Recruitment Start/End Dates

    • Purpose: Defines the timeframe for participant recruitment.
    • Functionality:
      • Recruitment progress metrics on the Dashboard are based on these dates.
      • Helps track study enrollment timelines.
    • Example:
      • Start Date: January 1, 2025
      • End Date: December 31, 2025
  • Study Completion Date

    • Purpose: Marks the official end of the study when all participant events are complete.
    • Significance: Indicates that the study is no longer active.
  • IRB Approved # / ID

    • Purpose: Stores the Institutional Review Board (IRB) approval number or identifier for the study.

    • Significance:  

      • Documents regulatory approval for the study

      • Useful for compliance and institutional record keeping

  • Add + New Grant

    • Purpose: Records various funding sources like the Grant ID and the Granting Agency.
    • Significance: Maintains funding information for quick reference within EnrollNow.

  • Study Description

    • Purpose: A text field for adding detailed study information.
    • Examples of Content:
      • Abstract or study summary.
      • Inclusion and exclusion criteria.

         

Important Note: Information entered here is stored only in the "Study Details" section and is not visible elsewhere in EnrollNow.

  • Multi-Study Participation

    • Purpose: Manages participant eligibility for other studies in Ripple.

    • Checkbox Options:
      • Checked: Active participants can be enrolled in multiple studies simultaneously.
        Unchecked: Active participants in this study cannot be added to other studies.
  • +Export Study

    • Purpose: Allows administrators to export the full study configuration. More details on exporting Study Definitions can be found here.

    • Functionality: Exports the study setup including components such as:

      • Surveys

      • Events

      • Other study configuration settings

    • Significance

      • Useful for backing up study configurations

      • Allows study templates to be reused in other studies

      • Supports collaboration between sites

Important:
When sharing or exporting Study Definitions, only the study configuration and structure are transferred. This includes items such as surveys, events, custom variables, email & text templates and other study setup components.

Participant data is not included.
No Protected Health Information (PHI) or Personally Identifiable Information (PII) is transferred when sharing study configurations.

This ensures that study templates can be reused or shared between studies or sites while maintaining data privacy and regulatory compliance.

  

  • Import Study Component

+ Select Study Definition (for Import)

    • Purpose

      Allows administrators to import components from an existing study definition into the current study.

    • Functionality

      You can import elements such as:

      • Surveys

      • Events

      • Email & Text Templates

      • Custom Variables
      • Other study configuration components

    • Significance

      • Saves time when creating new studies

      • Allows teams to reuse standardized study structures

      • Helps maintain consistency across multiple studies

  • Header URL

    • Purpose:  The Header URL section allows administrators to add a custom link that appears in the study header.

      • URL - Enter the web address you want users to access.

         

      • URL Label -Enter the text that will appear as the clickable link.

  • Significance: The Header URL can be used to link to:

    • Study recruitment websites

    • Institutional study pages

    • IRB documentation pages

    • External participant resources

This provides users quick access to important study-related information directly from the study interface.
