What Are Dimensions in the Report Builder?

Dimensions define how data is categorized and grouped in a report. They organize the rows and columns of the Report Builder output and can be used with or without numerical Measures. Dimensions help you break down data into meaningful categories, including participant demographics, study statuses, event outcomes, and custom variables.

Each selected dimension appears as a separate column in your report. When combined with a Measure, the report shows how many participants—or other countable items—fall into each category defined by your selected dimensions.

You can build a report using only Dimensions when you want a list of values, such as dates or sites, without applying a Measure.

Using Dimensions to Group Data

Dimensions allow you to organize your data in several ways:

  • Select one or more dimensions for a report.
  • Each dimension appears as a column, with its values used to group the report’s rows.
  • Apply Filters to limit the data included in the report.
  • Choose compatible dimensions and measures to avoid blank results or misleading data.

Example: If you select “Site” and “Status” as your dimensions and add “Count of Participants” as your Measure, the report shows the number of participants for each combination of site and status.

Types of Dimensions

EnrollNow groups all dimensions into eight main categories. These categories allow easier navigation of the dimensions list.

1. Participant Info

Includes participant demographic, identifying, and study-related fields:

  • Age
  • Custom ID — study-specific only
  • Date Added to Enrolled — study-specific only
  • Date Added to Potential — study-specific only
  • Date Added to Study — study-specific only
  • Date Signed Consent Form
  • Ethnicity
  • Family ID
  • Global Date of Last Contact
  • Participant Birthday
  • Participant Contact for Future Studies
  • Participant First Name
  • Participant Full Name
  • Participant Global ID
  • Participant Last Name
  • Participant Middle Name

These fields are associated with the Participant Profile Card. Global participant fields are shared across studies and exist regardless of study enrollment. Fields identified as study-specific apply to the participant’s record within a particular study.

Reports using global participant fields can aggregate data across participants rather than being limited to a single study. Study-specific fields depend on the participant’s study association and your access to that study.

2. Events

Event-related dimensions allow you to organize report data by participant events.

3. Study Info

Study information dimensions include:

  • Active Recruitment End Date
  • Active Recruitment Start Date
  • Status Category
  • Status Potential
  • Study Name

4. Contact Info

Contact information dimensions allow you to report on contact types, outcomes, and the date and time of contacts recorded in global or study-specific contact logs.

  • Global Contact Log Datetime
  • Global Contact Log Outcome
  • Global Contact Log Type
  • Study Contact Log Datetime
  • Study Contact Log Outcome
  • Study Contact Log Type

5. Study Custom Variables

Study Custom Variables are fields your team creates to meet the needs of a particular study. These dimensions are available for studies you have access to.

6. Global Custom Variables

Global Custom Variables are fields created within your EnrollNow instance and shared across studies.

Custom variables are created by users to meet their specific data collection and reporting needs. There are two types:

  • Global Custom Variables: Accessible to all users and available for use across reports.
  • Study-Specific Custom Variables: Available only for studies the user has access to.

Examples include:

  • Reason Ineligible
  • Assigned Group
  • Referral Source Details

7. Recruitment Info

Recruitment information dimensions include:

  • Recruitment Site
  • Recruitment Source
  • Recruitment Strategy

8. Administrative

Administrative dimensions identify the users who added, contacted, created, or modified a participant’s record.

  • Added to Study by Full Name
  • Contacted by Full Name
  • Created by Full Name
  • Modified by Full Name
  • Study Participant Last Modified by Full Name

Selecting Dimensions in Your Report

To add a dimension:

  1. Select a dimension from the dropdown menu of available options.
  2. Repeat to add additional dimensions.
  3. To reorder the list of Dimensions, click and drag the dimension name to a new position.

Performance Tip: Selecting too many dimensions can slow report generation. Choose only the dimensions needed for your reporting objective.

Using Measures with Dimensions

When you combine dimensions with a Measure, each row displays a count or value for a unique combination of the selected dimension values.

For example:

  • Measure: Count of Participants
  • Dimensions: Race, Gender, Site
  • Result: The report displays the number of participants for each unique combination of Race, Gender, and Site.

Some reports do not require a Measure. For example:

  • To create a list of scheduled visit dates, select Event Date as your dimension without adding a Measure.

Tips for Effective Use

  • Use Filters to limit the dataset without adding unnecessary dimensions.
  • Check user access levels. Certain dimensions, including study-specific fields, only populate for studies you have access to.
  • Choose compatible dimensions and measures. Not every combination produces meaningful results.
